ASC has negotiated discounted group rates with the Hyatt Regency Salt Lake City hotel for ASC’24 attendees which is in close proximity to the Salt Palace Convention Center. Hotel reservations are taken on a first-come, first-served basis. Please make your hotel reservation early as space is limited. The five (5) consecutive room nights policy has been lifted. Conference Group Rate rooms are available over the official dates of the conference; Sunday, September 1, 2024 – Friday, September 6, 2024. There are a limited number of rooms available on Saturday, August 31, 2024, for those attending short courses. Please book early if you plan to attend one of the courses on Sunday. Should the reservation link not accommodate this requirement, please contact ASC 2024 Conference Management by email.

The conference has not contracted hotel rooms for arrivals earlier than Saturday, August 31st or later than Friday, September 6th. If you wish to visit Salt Lake City prior to or following the conference, please contact the hotel directly to make a reservation for the dates of interest AFTER making your reservation for the conference at the Group rate.

If ASC’24 is advised at the time you make this second reservation, the hotel will make every effort to advise the front desk of your wish to remain in the same room over the duration of your stay. Please email asc@centennialconferences.com noting “Early/Late Reservation” in the subject field and in the body of the email, include the first and last name found on both reservations as well as both confirmation numbers.

DEADLINE
The deadline to reserve a room at the ASC 2024 discounted rate has been extended to Tuesday, July 30, 2024. Although July 30 is the deadline, be advised that inventory is very limited. Please make your reservation early! After this date, reservations will be made on a rate and availability basis.

DEPOSIT/CANCELLATIONS/CHANGES/REFUNDS
The Hyatt Regency Salt Lake City will collect a credit card at the time of booking to guarantee your reservation. If cancellation is made within 72 hours of arrival, a one (1) night penalty plus tax will apply. A no-show charge of one (1) night’s room and tax will apply for individuals who fail to show for their confirmed reservation. The hotels will accept payment in the form of credit card, debit card or business check.

WHY STAY AT THE OFFICIAL CONFERENCE HOTEL

The conference is holding a block of rooms at the Hyatt Regency Salt Lake City and the room rate is offered at a discounted rate compared to the standard prices listed on the hotel’s website. In order to offer ASC 2024 attendees a discounted rate, the conference assured the Hyatt Regency that a certain percentage of attendees would book their accommodations at the hotel.

Unoccupied rooms not reserved by ASC 2024 attendees pose a significant financial risk to the conference, potentially amounting to a large deficit. This penalty not only impacts the current year’s conference but also hinder the negotiation process for future ASC conferences, resulting in less favorable hotel contracts.

ASEF/ASC secures discounted group rates to ensure a sufficient number of rooms, particularly during peak seasons. Without this guarantee, the conference risks incurring substantial expenses for room rentals, potentially leading to attendees booking accommodations far from the conference venue or facing increased registration fees. By securing rooms, attendees benefit from cost savings.
